Privacy Policy

Last updated 28 August 2026

1. Scope and who is responsible

This policy explains what personal data we collect through this website, why we collect it, how long we keep it, and what rights you have. We collect only what we need to run the shop and answer enquiries.

The controller of that data is Soulmental, Skopje, North Macedonia, reachable at contact@soulmental.org.

2. What we collect

When you place an order: your name, email address, and phone number. We also record the date on which you accepted the terms of sale, and which version you accepted, as evidence of your consent.

When you claim a bundled gift: the shipping address you provide through the claim link in your delivery email. This is collected separately from your payment and only if you choose to claim the gift; declining it means we never collect an address at all.

When you use the contact form: your name, email address, and the content of your message.

Automatically: your IP address is recorded briefly and solely to rate-limit the contact form and checkout against abuse. It is not used to profile or track you.

Payment details: we never receive or store them. Card data is entered on the hosted page of AgentaOS, our payment provider and the merchant of record for the sale, and is handled entirely by them under the PCI DSS standard. They pass back to us only what we need to fulfil the order: your name, email address, country, and confirmation that payment succeeded.

3. Why we use it, and on what basis

Order data is processed to perform the contract you enter into when you buy: taking payment, delivering the goods, and providing support.

Contact form data is processed on the basis of our legitimate interest in responding to enquiries.

Rate-limiting data is processed on the basis of our legitimate interest in keeping the site secure and available.

Records of your acceptance of the terms of sale are kept to comply with our legal obligations and to establish the terms of the contract.

We do not sell your data, we do not share it for advertising, and we do not use it for automated decision-making or profiling.

4. Who we share it with

We share data only with the service providers needed to operate the site: our hosting provider, our database and file-storage provider, our payment provider (for processing your payment), and our email provider (to send you order confirmations and to reply to your enquiries).

Each acts on our instructions under a data-processing agreement. Where data is transferred outside your country, it is done under appropriate safeguards such as the EU Standard Contractual Clauses.

5. How long we keep it

Order records are retained for as long as required by tax and accounting law, typically seven years from the date of the order.

Contact form messages are kept for up to 24 months, then deleted.

Rate-limiting records containing IP addresses are short-lived and are purged automatically.

6. Cookies

We use only strictly necessary cookies, so no consent banner is required. We set no analytics, advertising, or third-party tracking cookies.

soulmental-locale: stores your chosen language so the site loads in it next time. Expires after one year.

Authentication cookies: set only for site administrators when they sign in. These are never set for ordinary visitors.

Your shopping cart is held in your browser's local storage, not in a cookie, and never leaves your device until you submit an order.

7. Your rights

Depending on where you live, you have the right to request access to the personal data we hold about you, to have it corrected or erased, to restrict or object to its processing, and to receive it in a portable format.

To exercise any of these, email contact@soulmental.org with the order reference or email address you used. We respond within 30 days. Note that we may need to retain order records where tax law requires it, even after an erasure request.

If you believe we have handled your data improperly, you may lodge a complaint with your local data protection authority.

8. Security

Data is transmitted over HTTPS and stored on access-controlled infrastructure. Digital files are held in private storage and released only through expiring, single-purpose download links.

9. Contact
